Gala Ready: 4 Tips to Planning an Impactful Event

A gala is arguably the most important night for your mission all year. It’s a chance for donors and benefactors to come together in support of a great cause - and a chance to throw an event that builds the case for continued giving.
Given the stakes, we know gala planning isn’t easy. So we're sharing our best insider tips on the elements that make the biggest impact, so you can pull off your most memorable event yet.
Set the Stage

Most galas center around keynote speakers, benefactor stories, and other presentations, so a stage is a crucial piece in creating visual separation between guests and presenter. Traditionally, that means a rectangular stage placed at the end of the room, with seating facing forward. But we love the idea of a round stage set in the center of the room, like the one we built for the SMUIN Ballet Gala. Paired with dining rounds, the stage becomes an extension of the audience - creating a sense of community instead of hierarchy.
No matter what shape you choose, size and height matter most. While our team can build anything to fit your event, you’ll want to ensure the stage is roomy enough to comfortably hold your presenters.
Pro tip: consider whether you’ll have multiple speakers on stage at once, and whether they’ll be sitting or standing. You’ll also want enough height to raise presenters so guests can see them clearly. Still unsure? No problem. Our team can advise on the right measurements for your space.
Storytelling Through Color

Color carries your mission throughout the event and stays with guests long after the speeches end. It’s a visual story, a reminder of the values you stand for and what the night is really about. For the LA Rams, we lined the guest entrance in their signature shade of blue, and brought that same color through the decor and tabletop for a fully immersive experience. This works especially well for universities and sports teams, but it’s an impactful design choice at every gala.
Seating for Success

Galas are one of the best opportunities to build organic connections and lasting relationships. Set up the perfect mix of seating to encourage mingling: comfortable lounges to settle into for hours, and cocktail tables to keep the room flowing. And don’t forget a few accessory tables to rest your drinks on.
Small Details, Big Impact

It’s often the little things that make the biggest difference, and with the rise of intimate and hybrid galas, that’s truer than ever. We like to focus on upgrading “high-touch” items like flatware, linens, and glassware. These are the details guests actually touch and notice, and a quality experience leaves a lasting impression that goes beyond the event itself. A well-designed and thoughtful table setting reflects the same care you’ve put into your cause; proof that an event doesn’t need to be formal to feel significant.
Don’t overlook logistics, either. Signage pointing guests to restrooms, or drapery marking off certain areas, is a relatively budget-friendly upgrade that’s both decorative and functional, another small signal that no detail was overlooked.
